Exporting Data from Paragon – Topeka, KS (On-Line )

Using Customize to setup the Export Format

Before you can export data, you must first setup the Export format.  This is a one time action that you will need to do.  The format must be setup exactly as shown in this section for the Buying Pattern application to understand the format.

Once you are in the search spreadsheet screen, use the  button to customize the spreadsheet.  Once you’ve pressed the graphic you will see a dialog box as shown below.

Start from the default spreadsheet by pressing the  button.  Once you’ve reset the spreadsheet definition to the default, you will select and add fields as shown in the dialog box below.

For example, to move the “City” field over,  select the name “City” from the “Available” table (on the left) and add it into the “Selected” table (table on the right) by using the  button.  You will see the item move to the table on the right.

Verify all the options below, Add/Remove and Move Up / Move Down as necessary.  Do this for each of the options as shown below.

Note: Be sure that you create the Spreadsheet report exactly as shown below.  Each of the items shown must be in the same order as well.  If you need to move the order of the items, select the item and use the “Move Up” and “Move Down” keys to make sure the items are exactly as shown.  The item should be listed in the following order:

·         MLS #

·         Class

·         Type

·         Price

·         Zone

·         Address

·         City

·         Status

·         Basement

·         Bedrooms

·         Approx Age

·         Associated Docs

·         Closing Date

·         Expiration Date

·         Fin Area Total

·         Listing Date

·         Off Market Date

·         Sold  Price

·         Subdivision

·         Days On Market

Once you have completed the task above, save the results by pressing the  button.  You are now ready to do your MLS search and export results.

Note this change may need to be done for the Condo spreadsheet as well.

Paragon – Topeka, KS (On-Line)

In selecting data from Paragon – Topeka, KS, be sure to select the options below:

Make sure that all the status options are selected.  This option will make sure that all the data that is needed to create the appropriate graphs, is collected.   Additonally, select the “Closing Date” to be 1/1/2007.

This is not required.  However, this limits the amount of data you will export and make you files more manageable.  This assumes it is 2009 and you are only looking for the last two years of data.

You should also make your normal selection choice by selecting other options that you would normally select in doing a CMA.  As mentioned earlier, looking at activity in specific subdivisions is a good starting point.

Once you’ve selected the search criteria, press the  button to see the results as shown below.  Now you are ready to export the results.  To export the results, select the  button.

When you select the export button, the  area is displayed on the right side of the screen.  Select the “Spreadsheet Comma Delim” option.  Once you do that, you will see a screen similar to the screen below.

You are now ready to save your file.  Use the  button to create your File.  Notice that you may position your cursor in the “Name” field and rename the file to be created.  The first time you use this button you may see the following message.  If so, you will need to make changes to the Internet Explorer Options, to allow you to create the file.

Note: You will only have to change the Internet Explorer Options once.  Follow the directions stated above to do this action.

The screens below show the process used to set the Internet Explorer Options.

The next screen is used to make the actual change:

Notice the change is made to the “Initialize and Script ActiveX Controls not marked as safe…”.   You are now ready to save your file.  Use the  button to create your File.   You will see the message shown below.  Select “Yes” and your file will be created.

The file will now be created.  When the file is created you will see the following message.

Note the the file is automatically created in the C:\ directory.  This is the exported file that will be used to create your graphs.

Once you have saved your exported file, you are ready to run the Neighborhood Buying Patterns application.

When you run the application you will need to point to the exported data file, so be aware that the file has be place in the c:\ directory.   It may make sense to move the file to a location that is easier to access.

For instructions on how to run the Neighborhood Buying Pattern application, be sure to see the Neighborhood Buying Pattern manual (installed on your desktop when you installed the application).
